EventSquid setup & management

[ flat-rate licensing means you can run unlimited events. it does not mean somebody has time to build them. ]

EventSquid is a strong fit for organizations running a full calendar, because the license is flat-rate rather than per-event and admin seats are unlimited. the catch is the same one every platform has: the software gives you empty modules, and somebody still has to fill them in correctly for each event.

the annual license covers unlimited events rather than charging per event, so the marginal cost of running one more is your team's time. that changes which events are worth doing properly, and it is the main reason associations land here.

no transaction fees on card payments

EventSquid does not take a cut of your card charges or refunds, which for a paid conference is a meaningfully different economic model from a per-registration platform.

websites and an app are included

event pages and a mobile app come with the license rather than as separate line items, so a well-built event can cover more ground without another contract.

unlimited admin seats

you can give access to the people who need it without counting licenses, which matters when a volunteer committee is involved.

none of this is a criticism of the platform. it is what happens when capable software meets a team that is already running four other things.

rebuilding what you could have copied

EventSquid lets you copy a past event and change only what is different, and your custom fields carry from event to event either way. the waste comes from skipping that: start an event fresh and every registration item has to be built again by hand. the flat-rate license only pays off if event six is faster than event one, so we build the first one to be worth copying, and copy properly after that.

pricing rules that almost work

member and non-member rates crossed with early bird cutoffs, comps and group discounts is where builds quietly break. it usually looks fine until a registrant finds the combination nobody tested.

reports built the night before

the data is in there. getting it out in the shape your board, your caterer and your badge printer each want is a separate skill, and it is always needed at the worst moment.

a build only one person understands

the person who set it up has left, or is on vacation, and the event opens on monday. we audit what exists and document it so the next change is not archaeology.

questions we get asked

do you work inside our EventSquid account?

yes. we work as an admin on your license, so your data, your billing and your build all stay yours. many organizations create a named account for us and disable it when the project ends, which is a good practice and we encourage it.

can you fix an EventSquid build somebody else started?

frequently. we audit what exists, tell you what is salvageable and what should be rebuilt, and quote those separately so you can decide with real numbers rather than a hunch.

can you set us up so future events are faster?

that is the highest-value thing we do on a flat-rate platform. building your first event so it is genuinely worth copying, and documenting what has to change on each copy, is what makes events two through ten take days instead of weeks.

we are a nonprofit. does that change anything?

on the license side, EventSquid publishes nonprofit pricing, so ask them directly. on our side, scope is what drives the price, and a lean association conference is a smaller scope than a 4,000-person trade show.
