nobody scopes for this part, and it is the part that eats the months before your event. it is not hard work. it is constant work, and it arrives at inconvenient times.

attendee changes

name spellings, email corrections, job titles that changed between registering and arriving, session swaps, meal changes, added guests, and the person who registered their colleague under their own name.

substitutions and transfers

"can dave come instead of me" is a five-minute job when the record is transferred properly and a badge disaster when it is not. we do it properly, including the pieces that do not automatically follow: sessions, badge fields, meals and receipts.

cancellations and refunds

processed against your published policy, with the money, the record and the reporting all matching each other afterwards.

duplicates and data cleanup

the same person registered twice, the organization entered nine different ways, ALL CAPS names, missing badge fields. we clean as we go rather than in one miserable week at the end.

waitlists and capacity

watching the sessions that are filling, releasing waitlisted registrants when space opens, and telling you early enough to move a session to a bigger room.

payment chasing

unpaid invoices, failed cards, purchase orders that never turned into money. we track who owes what and follow up so your revenue report is not a work of fiction.

reporting on a schedule

a weekly registration and revenue summary, session counts for room sets, dietary and accessibility totals for the venue, and the ad hoc pull your executive director asks for at 4pm on a friday.

the pre-event package

the final attendee list, the badge file, the check-in list, the session rosters and the reports your onsite team needs, delivered in the format they asked for and checked before you travel.

how fast do you respond to attendee issues?

same business day, and usually a lot faster than that. during the week before an event we agree a tighter window in advance, because that is when everything happens at once.

do you talk to our attendees directly?

only if you want us to. some clients route the registration inbox to us and we answer as part of their team. others keep attendee contact in house and use us behind the scenes for the changes themselves. both work.

can you handle refunds and cancellations?

yes, against your published policy. we process the change in the platform, apply the policy consistently, and keep the record clean so your finance reconciliation at the end is not an archaeology project.

what does the final attendee list look like?

usable. deduplicated, names capitalised properly, badge fields consistent, sessions accurate, dietary and accessibility needs summarised, and formatted for whoever needs it next, whether that is your badge printer, your caterer or your app.

do you do onsite?

the registration data work, yes: we prepare the check-in list, the badge file and the reports your onsite team needs. staffing a check-in desk in person is a separate conversation, so ask.
