speaker management
[ using our custom portal ]
forty speakers, four deadlines and one email thread nobody can find. we collect bios, headshots, session titles, descriptions, A/V needs and slide decks through a portal instead, send the reminders ourselves, and hand you a clean agenda.
what we collect
everything your program needs, from the person who has it
each speaker gets their own link. they see what is required, what they have already given you, and what is still outstanding. no attachments to dig out of a thread, no "can you resend the form".
- bio, in the length your program actually uses
- headshot, at a resolution that will not look terrible printed
- session title and description, with a character limit that matches your layout
- learning objectives and CE information where your event needs them
- A/V and room set requirements, before the venue deadline rather than after
- disclosures, consent and speaker agreements
- slide decks, by the date you actually need them
the status list
the thing you actually want is not the portal. it is the one page that says: 34 of 40 complete, these 6 are missing headshots, these 2 have not opened the email at all, this one needs a different room set.
you get that, updated, without asking for it.
the actual value
we do the chasing, you stay the good guy
your relationship with a keynote speaker should not be spent on a fourth reminder about a headshot. ours can be.
reminders on a schedule
automatic at the sensible intervals, personal when automatic has clearly stopped working, and escalated to you only when it genuinely needs your name on it.
review before it publishes
nothing goes live because a speaker typed it. you approve bios and descriptions, we fix the formatting, the title case and the 400-word bio that was supposed to be 80.
straight into your agenda
approved content flows into your event website, your app and your registration platform's session data. entered once, correct everywhere.
you might be wondering …
questions we get asked
how many speakers is this worth doing for?
somewhere around a dozen it stops being an email thread and starts being a project. below that you can survive on a spreadsheet. above it, the spreadsheet starts lying to you.
do you run a call for speakers too?
we can. collecting proposals, giving your committee a tidy way to review and score them, and turning the accepted ones straight into confirmed sessions is the same machinery pointed one step earlier in the process.
what do you do about the ones who never respond?
we chase them, on a schedule, so that you are not the one nagging a person you have to introduce warmly from a stage in six weeks. you get a status list showing exactly who is outstanding and what is missing.
where does the collected content end up?
in your event website and app as a clean agenda, and in your registration platform where session data belongs. entered once, used everywhere, which is the whole point.
