registration setup

[ in your software, or ours ]

we build your event's registration from the ground up. forms, pricing, sessions, confirmation emails, the works. specialized experience in EventSquid, Swoogo, Stova and eventPower, but if you can name it, we can build in it.

what a build includes

everything between a blank event shell and an open registration

registration platforms do not ship your event. they ship a set of empty modules and a lot of settings pages. this is the work of filling them in correctly.

registration paths

attendee, speaker, exhibitor, sponsor, staff, press, guest. each one sees the questions and prices that apply to them and none of the ones that do not, so nobody has to be told to "just ignore that part".

pricing and eligibility

member and non-member rates, early bird and regular tiers with dated cutoffs, day passes, student and retiree pricing, group rates, comps for speakers and board members, and the rules that decide who is allowed to see which.

sessions, tracks and capacity

session selection with real capacity limits, conflict rules so nobody books two things at once, waitlists where you want them, and ticketed add-ons like workshops, tours and the golf tournament.

forms and conditional logic

dietary needs, accessibility requests, credentials, license numbers, emergency contacts, consent and waivers. questions appear only when they are relevant, which is the difference between a two-minute form and an abandoned one.

payments and money handling

card payments, invoices and checks, purchase orders, partial payments where the platform allows it, tax and fee settings, refund rules, and discount or promo codes with the limits actually enforced.

emails and confirmations

confirmations that list what someone actually registered for, receipts that finance will accept, reminders on a schedule, know-before-you-go messages, and the wording checked so it sounds like your organization.

reports and exports

the reports you need before anyone asks for them: registrations by type, revenue by tier, session counts for room sets, dietary totals for catering, and a clean export for your badge printer or your association database.

the public-facing pieces

branding, logos, colors and the registration landing experience, so the jump from your website into registration does not feel like the visitor got handed off to a different company. see event websites.

the part people skip

we test it like a registrant, not like an admin

an admin knows which button to press. a 68-year-old member on an iPad at 9pm does not. so we register as one, on a phone, with a card, choosing the awkward combination of options nobody planned for.

  • every path and persona registered end to end
  • every price and discount code confirmed against the scope
  • every confirmation email read, on desktop and on a phone
  • every capacity limit and conflict rule deliberately broken to check it holds
  • the resulting data checked in the reports you will actually use

then you get the test link and a nudge to try to break it yourself. it is much cheaper to find it now.

handover, in writing

when the build is done you get documentation of how it was set up: what the paths are, where the pricing rules live, which emails fire when, and how to change the five things you are most likely to want to change.

that is deliberate. if we are the only people who understand your registration, we have not finished the job.

or keep us on to run it

platforms

built on your license

you already pay for a registration platform. the goal is to get a professional build out of it, not to move you onto something new. if you do not have a platform yet, we will tell you which of these fits your event before you sign anything.

how we work in each platform

you might be wondering …

questions we get asked

how long does a registration build take?

a straightforward event is usually one to two weeks from kickoff to a test link. a conference with member pricing, session selection, CE credit and an exhibitor path is more like three to four. the honest answer depends far more on how settled your pricing and agenda are than on the platform.

do you need admin access to our account?

yes. we work as an admin on your license, which is what keeps the build, the data and the billing relationship yours. we are happy to work under whatever access policy your organization requires, including a named account that you disable when the project ends.

what if our pricing is complicated?

good. complicated pricing is the reason people call us. member and non-member rates, early bird cutoffs, day rates, student and retiree tiers, group discounts, comped speakers, add-on workshops and a golf tournament that only 40 people can join: all of that is a normal tuesday.

do you test the registration before it opens?

always, and we test it as a registrant rather than as an admin. we run real test registrations through every path, every price and every payment type, then check the confirmation emails and the data that lands in your reports. you get a test link and are expected to break it too.

what happens after launch?

your choice. some clients take the keys and run it themselves with the documentation we hand over. others keep us on for registration management through the event so the day-to-day changes stay off their desk.

ready to hand over the build?

send us the event, the platform and the date you need registration open. you will get a scope and a fixed price back.
